CONFERENCE SERVICES MANAGER

The Fifth Avenue Hotel – New York, NY

The Fifth Avenue Hotel, an award-winning luxury destination, is seeking a Conference Services Manager to join our team. Nestled in the heart of Manhattan, our hotel is a vibrant oasis featuring 149 beautifully appointed guest rooms, where personal service, extraordinary design, distinctive cuisine, compelling art, and immersive cultural experiences come together to create something truly exceptional.

POSITION OVERVIEW

As the Conference Services Manager, you are responsible for planning, organizing and executing guest room blocks in accordance with hotel policies and quality standards, to ensure customer satisfaction, maximize profitability and generate repeat business. This role involves marketing the hotel's services, issuing contracts, coordinating across departments to execute flawless groups, and maintaining strong, long-term client relationships. You will also support new business development through site visits, sales presentations, and proactive outreach. This role has a strong focus on maximizing revenue through upselling, delivering exceptional luxury service, and upholding the hotel's sustainability initiatives to position The Fifth Avenue Hotel as one of the world's best.

KEY RESPONSIBILITIES

Sales & Revenue Maximization

  • Maximize revenue by selling all facets of the hotel to new and existing clients.
  • Collaborate with Director of Sales and Revenue Management to develop upselling strategies and guidelines to maximize revenue opportunities. 
  • Liaise with Food & Beverage Department to ensure revenue optimization.  
  • Use professional sales techniques to negotiate terms and conditions that satisfy both client and internal requirements.
  • Develop and conduct sales presentations and site visits to prospective clients.
  • Articulate and leverage the unique benefits of the hotel to close sales opportunities.

Account Management & Client Relations

  • Manage existing accounts and execute proactive client re-solicitation to capture future business.
  • Manage assigned accounts ensuring all pertinent aspects of solicitation, negotiation, and closing are complete and documented.
  • Travel locally to conduct outside sales calls, promote the hotel, and evaluate competitor positioning in the Manhattan market.
  • Represent the hotel at industry trade shows and professional events.

 

Group Coordination & Interdepartmental Synergy

  • Act as a seamless liaison between clients and hotel operating departments to ensure successful groups and generate repeat business.
  • Oversee all billing details for hotel groups which include processing of deposits, credit card authorization forms and effective coordination with Finance Department.
  • Coordinate and supervise assigned group business from initial booking through completion, maintaining profitable operations and high-quality service levels.
  • Coordinate various departments' participation in servicing accounts.
  • Create, review, and revise rooming lists, VIP amenities, and group information for distribution to operational teams.

Sustainability & Operational Support

  • Follow and promote sustainability guidelines and practices in alignment with HHM's EarthView program.
  • Perform additional duties as requested by management, including supporting the broader sales process and responding to inbound leads.

SAFETY & SECURITY

  • Uphold rigorous safety, data security, and confidentiality protocols for corporate guests, VIPs, and client accounts across all sales and servicing operations.

QUALIFICATIONS

  • Associate's or Bachelor's degree in Hospitality Management, Business, or related field preferred.
  • Proven experience in hospitality sales and/or sales management strongly preferred.
  • Familiarity with sales and hotel management software (e.g., Delphi, Infor, PMS).
  • Strong communication, negotiation, and presentation skills.
  • Keen attention to detail with a passion for luxury hospitality standards.

WORK ENVIRONMENT

  • Flexible work schedule, including occasional evenings, weekends, and holidays as needed to support hotel operations and client events.
  • Physical demands include sitting for extended periods, walking the property, lifting up to 10 pounds, bending, reaching, and operating office equipment.
  • Moderate local travel required between the hotel and client locations.
